How to Write an ATS-Friendly Resume in 2026: A Practical Checklist

An ATS-friendly resume is a clear, truthful document that software can parse and a person can review quickly. It is not a magic format that guarantees an interview. The best approach is to make your experience easy to find, relevant to the role, and supported by evidence.

1. Start with a readable structure

Use ordinary section headings such as Summary, Experience, Projects, Education, and Skills. A single-column layout is often the safest starting point when you do not know how an employer processes applications.

  • Use a professional name and contact line at the top.
  • Keep dates, job titles, and company names visually consistent.
  • Avoid putting important information inside images, charts, headers, or decorative text boxes.
  • Export the final file and review the PDF as a human reader would.

2. Match the job description honestly

Read the job description and identify the responsibilities, tools, and outcomes that genuinely match your background. Use the same ordinary language when it accurately describes your work, but never copy a keyword you cannot explain in an interview.

"A relevant keyword is useful only when it is backed by real work, a project, coursework, or a result you can discuss."

— ResumeCraft principle

3. Write evidence-led bullet points

A strong bullet usually combines an action, the work performed, and the outcome or scope. For example, instead of writing “Responsible for dashboards,” write “Built weekly sales dashboards in Power BI that helped the team review regional performance in one meeting.” Add a number only when it is accurate.

4. Review before you apply

Check spelling, links, date order, page breaks, and whether the exported PDF contains selectable text. Compare your resume with the role, remove irrelevant details, and ask whether every claim is clear enough for a recruiter to verify.

Next step: choose a clean ATS resume template, add your real evidence, and use ResumeCraft’s live preview to review the final document.
